Job Description:
The Opportunity
Maintain Online Course Maintenance: Work with the Admin Spec III to
monitor and deploy a process to identify/prioritize existing UF Online courses for redesign/updating. Create and monitor a maintenance plan
for UF Online courses on a semesterly and ongoing basis, including full programs, non-program general education courses, and single courses.
The maintenance plan should include attention to DEW rates, enrollment trends, GatorEval feedback, and other relevant/appropriate
metrics.
Course Production Administration: Conducts course production administration following the administrative
processes for onboarding and tracking the course production process, updating and documenting all processes and templates associated with
these activities. Runs monthly reports and disseminates them to stakeholders and is responsible for keeping the documentation for reporting
up to date, which includes effort reporting.
Human Resources: Assist the Admin Spec III with human resources
coordination, including recruiting, interviewing, onboarding, employee support, exit process, and ensuring all security roles and
application access is provided; responsible for the documentation and maintenance of the internal processes for these activities. Assist
with payroll review and ensuring everyone is current and compliant with all required training. Responsible for keeping employee
documentation current.
Finance: Assist the Admin Spec III with departmental purchasing and tracking in addition to
tracking and renewing software agreements. Responsible for budget reconciliation, assisting with budget planning projections. Obtains quotes
for services, invoicing, and invoice payment tracking.
Manages Departmental Administration: Works with the Admin
Spec III to coordinate departmental meetings, sets agendas, and takes notes during meetings. Responsible for coordinating external events.
Monitors and responds to departmental emails and inquiries. Assists with departmental calendars, ensuring they are up to date.
Special notes to the applicant:
Two days a week remote work is an option after working in the department
for 90 days and may require periodic travel between East Campus and main campus. Must be able to start within 4 weeks of accepting the
official letter of offer.
Expected Salary:
$52,000 – $58,000 annually
Minimum Requirements:
Bachelor’s degree
and three years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications:
- Strong knowledge of administrative software, including Microsoft Suite and Google Suite.
- Knowledge in UF administrative
processes, including payroll processing, fiscal responsibilities, asset management, etc. - Ability to communicate professionally and
effectively in writing and in person. Ability to problem solve.
